Refund and Cancellation Policy

Effective Date

This Refund and Cancellation Policy applies to services provided by Julz Accounting (Pty) Ltd, Julz Tax (Pty) Ltd, and any associated subsidiaries, affiliated entities, trading divisions, or business units ("the Firm").

Professional Services

The Firm provides professional accounting, taxation, advisory, compliance, registration, bookkeeping, payroll, consulting, and related services.

Due to the nature of professional services, fees are charged for professional expertise, knowledge, time, administration, consultation, preparation, review, representation, and interactions with third parties including regulatory and government authorities.

Prior to the commencement of services, clients will generally be provided with an engagement letter, proposal, quotation, invoice, or other written confirmation setting out the scope of work, fee arrangements, and applicable terms and conditions.

Cancellation Before Work Commences

Clients may request cancellation of an engagement before work has commenced.

Where no work has been performed, any payment received may be refunded less:

  • Payment processing fees;
  • Bank charges;
  • Foreign exchange costs;
  • Administrative costs incurred; and
  • Any other third-party charges paid on behalf of the client.

Refunds will be processed using the original payment method where reasonably possible.

Cancellation After Work Commences

Once work has commenced, professional fees are generally non-refundable.

Work is considered to have commenced when any of the following activities have taken place:

  • Information or documentation has been reviewed;
  • A consultation has been conducted;
  • Advice has been provided;
  • Documentation has been prepared;
  • Tax, accounting, payroll, or compliance work has been performed;
  • Applications, registrations, submissions, or calculations have been prepared or submitted;
  • Regulatory, governmental, or third-party appointments have been arranged or attended;
  • Correspondence has been undertaken on behalf of a client; or
  • Professional time and resources have been allocated to the engagement.

Incomplete Engagements

Where a client fails to provide documentation, information, approvals, instructions, or responses required to complete an engagement, the Firm reserves the right to retain fees relating to work already performed.

Any refund request in these circumstances will be considered at the Firm's sole discretion and will take into account:

The extent of work performed;

Time incurred;

Administrative resources allocated;

Third-party costs incurred; and

Any contractual commitments already undertaken.

Government and Regulatory Processes

Many of the Firm's services involve interaction with third-party organisations, including government authorities, regulatory bodies, financial institutions, and professional organisations.

The Firm cannot guarantee:

  • Approval of applications;
  • Issuing of registrations or reference numbers;
  • Processing times;
  • Responses from authorities;
  • Acceptance of submissions; or
  • Any specific outcome.

Professional fees remain payable for services rendered regardless of the outcome of any application, submission, registration, appointment, assessment, audit, objection, appeal, or regulatory process.

International Payments

Where payments are received from outside South Africa, refunds may be affected by:

  • Exchange rate fluctuations;
  • Banking charges;
  • Foreign exchange regulations;
  • Payment processor fees; and
  • International transfer costs.

The Firm is not responsible for losses arising from exchange rate movements or charges imposed by financial institutions or payment service providers.

Payment Disputes

Clients are encouraged to contact the Firm directly regarding any payment concerns before initiating a payment dispute, chargeback, or claim through a payment provider.

The Firm reserves the right to provide supporting documentation, including engagement letters, invoices, correspondence, work records, and supporting evidence to payment processors, banks, regulatory bodies, or dispute-resolution providers where necessary.
